Which files can I upload?
PDF, Word (.docx/.doc), PowerPoint (.pptx/.ppt), Excel (.xlsx/.xls), CSV, plain text, Markdown and images (PNG, JPG, WEBP, GIF). You can also paste a website URL and Files2BI reads up to 10 pages on that site.
How are spreadsheet numbers kept exact?
Spreadsheet and CSV rows are loaded into a SQL database with typed columns. When you ask for a total, an average or a percentile, Files2BI runs a SQL query on your rows — the AI writes the query, it doesn't estimate the number.
How do I know an answer is right?
Every answer cites its source: the page of the document, the rows and filters of the spreadsheet, or the invoice it came from, with a button to open the file.
Where are my files stored?
In Cloud mode, uploads are stored encrypted in Amazon Web Services (US East) and are only accessible to your workspace. In Browser-Private mode the files stay on your computer and the search index in your browser: their text is sent to us only to be masked and indexed with Amazon Bedrock, and nothing is stored on our servers.
What happens to card numbers, IDs and personal details in my files?
They are masked automatically when the file is uploaded: card and bank account numbers, IBAN, IFSC and routing numbers, CVV and expiry dates, SSN, Aadhaar, PAN and passport numbers, emails, phone numbers, postal addresses, dates of birth and medical record numbers. The masked values are never stored in your workspace, sent to the AI or shown in answers; card and account numbers keep their last four digits so you can still tell them apart. Person and company names are not masked. Your original file stays private to your workspace and downloads unchanged. Masking is automatic and best effort — it can miss values in unusual formats, images or handwriting — so it is a safeguard rather than a guarantee (see section 7 of our Terms of Service).
Is my data used to train AI models?
No. Answers are generated with models hosted on Amazon Bedrock, which does not use your prompts or files to train models.
Can my team use the same account?
Yes. Invite teammates from the Team page. Everyone works on the same files, dashboards and saved questions and shares one token balance, while each person's chat history stays private.
What does it cost?
Every account starts with 50K free tokens. After that you buy token packs from $5 — no subscription, no seat fees, and tokens never expire.

What are tokens?
Tokens are how Files2BI measures work. Asking a question and reading a file you upload use tokens; your balance goes down by exactly what each action costs.
Do tokens expire?
No. Tokens never expire. Use them at your own pace.
How do I check my balance?
Sign in and open Token usage. It shows your remaining balance and breaks down where every token went. Credits added lists every grant and purchase.
What happens when I run out?
You can still sign in and look around — your files, dashboards and settings stay exactly as they are. What stops is asking questions and uploading new files, and you'll be asked to add tokens the next time you try. Buy any pack and you're back within seconds.
Do I get charged for just looking around?
No. Only AI work uses tokens — asking questions and reading the files you upload. Opening your files, dashboards, insights, saved queries and chat history is free, and so are changes such as creating folders, saving questions or deleting files. Every charge is itemised on your Token usage page, and there is no seat fee on top.
Does my team share one balance?
Yes. Teammates you invite draw from the workspace owner's balance, so you buy tokens once for the whole team.
Refund policy?
Unused tokens are refundable within 30 days of purchase. Contact us and we will sort it out.
